Wedding Tips & Advice

Wedding Tips & Advise

Before starting your search for your perfect wedding venue make a list of your priorities. Understanding your priorities up front will help you narrow your search early and save you time and wasted effort. Consider the following when thinking about what is important to you:

Wedding Budget

Money is usually a consideration for most couples. Understanding this going into the process of planning a wedding will allow you to feel good about your decisions after the event has occurred. Do not forget to look at the total cost for the event. If a venue has a site fee then make sure you consider that in the calculation as well as the catering and ceremony cost.

A budget can be managed in a couple of different ways. You can approach it from a price per person basis or an overall basis. If you are looking at the overall expenditure then this can easily determine how many guests you can afford to invite to your wedding event. Your budget will go further at a less expensive venue and will permit you more guests. If a nicer event with better quality food and alcohol is important to you then possibly consider reducing your headcount and have a smaller more intimate event to meet your budget objectives. The quality of the event is not determined solely by the number of guests in attendance.

If budget is a primary consideration then consider a non-Saturday date. Saturday weddings are the prime commodity in the wedding business and there are only 30 or so of them in prime wedding season each year. With such a limited quantity, they will always sell at a premium. Most venues offer some sort of incentive for using a non-Saturday date. Typically wedding site fees and catering minimums are lower and if you really want to save some money consider having the event during off-season. All wedding venues will negotiate on their pricing during the winter. This is also true of photographers, musicians, bakers and florists. Your wedding dollars go a lot further in cold weather.

Wedding Pricing

Are you able to understand the pricing model for the venue and is it easy to figure out how much your event will cost? Are there any hidden fees that would result in you spending more than you anticipate? Planning around a budget will not do you any good if you can not plan for your total catering expenditures. Any reputable venue should provide you a detailed estimate of exactly what your event will cost based on the options you select before you sign any contracts. This should include any costs that may not be transparent like cake cutting fees, chair setup fees, change room fees, cleaning fees, linen fees, etc. If they are not willing to do this then this should be a red flag and you should keep looking.

Wedding Ceremony

What type of wedding ceremony are you looking for? If an outdoor ceremony is a priority for you then look at venues that have the type of outdoor locations that fits with your vision of your perfect wedding ceremony. Some venues have highly manicured gardens and landscaping that is suited to more formal events while other venues cultivate a more natural setting which in turn lends itself to a more casual and relaxed event. Both formal and informal venues can be elegant and like a simple black dress, a good venue can be dressed up or down to suit your particular taste. Many couples like to have water near their ceremony site so that criteria may help narrow your search as well. Just be sure that the venue is not along a major creek or river that floods. If an outdoor wedding ceremony is a priority for you then look for a venue with a good backup option. The single most stressful aspect of planning an outdoor event a year in advance is worrying about what the weather is going to be like on your wedding day. Having that backup option identified at the outset of your planning will eliminate a lot of stress and anxiety. Make sure to note whether the back-up ceremony option will add to the cost of your wedding. Some venues require you to decide days before the wedding whether you will use the back-up option. It is ideal when a wedding venue allows you to make a decision about your wedding ceremony site the same day as the wedding. Choosing a location that has beautiful outdoor and indoor locations enables you to order flexible flower arrangements that will work well in either space since the spaces have already been identified in advance. Most groups like the convenience of hosting the ceremony at the same location as the wedding reception. It simplifies the wedding day for you and your guests.

If a church wedding is a priority then you need not limit your search to venues in close proximity to your particular church. If you have found the perfect venue it is possible to find a church nearby that will perform your wedding ceremony. Most churches are open to performing wedding ceremonies for non-members.

Wedding Reception Area

Check out the reception area where you will be hosting the event. Make sure it is large enough to handle a group your size. There should be adequate area for dancing as well as guest tables. If you are not sure whether a space is suitable, ask to see a floor plan that illustrates how the space can accommodate your size group along with a dance floor and anything else you will need. Make sure there is adequate heating and cooling for the room. The lighting should adjust for photographs and the various portions of the event. The restrooms should be large enough and clean with large mirrors in the ladies room. There should be adequate parking for a group your size; most guests arrive as a couple so you will need about half as many parking spaces as invited guests. There should be a changing space for the bride and groomsmen to get ready. Be sure to ask how long you have the room, how early you can arrive to decorate and if there are any decorating restrictions.

Wedding Photography

Is having a spectacular wedding photo album and wonderful pictures to document your day a priority? If so then select a venue that lends itself to and focuses on great photography locations. A good venue will have a nice selection of both outdoor and indoor sites for photos (just in case it rains). A good venue will also allow you early enough access to the property that you could accomplish pre-ceremony photography (prior to guest arrival). There are urban locations that offer no outdoor wedding photography at all. Most photographers will provide venues with sample photo albums to showcase their work and the venues photography locations. This is a great way to see what the property looks like during a particular season. It also provides you with a sample of what your album might resemble. Ask if albums are available. This can also help you find a photographer whose style you like. Any venue that you would want to work with will have a preferred vendor list to help you find a photographer, musicians, a baker, a florist and a ceremony officiator. It is in their interest to assist you to build the perfect team to execute your event.

Wedding Meals

Are you or your family foodies? If so, then food quality is most likely at the top of your list. Some wedding venues have restaurants which you can check out the meal preparation and most venues offer some sort of menu tasting. If there is something in particular that you are looking for then do not be afraid to ask. Most venues will jump at the chance to work with you to customize your menu. After all, you are spending a lot of money at the venue and they should bend a bit to give you what you want. Ask about bar packages and have the wedding venue make recommendations regarding identifying the appropriate bar service for your particular group.

Wedding Destination Lodging

Keep in mind that you and some of your guests may be coming from out of town. Most venues have some sort of lodging option available. If the venue does not offer lodging then ask about hotels close by that can accommodate your guests. If the hotels is not close by then consider a shuttle service for your guests. This is the safe and smart thing to do and shows your guests that you have taken their safety and comfort into consideration.

Property Access Time

Some venues have very restrictive policies when it comes to property access for decorating. Oftentimes, bridal parties cannot access the reception space until two hours prior to the ceremony, at which point most groups are finishing up hair and make-up or taking pre-ceremony photography. Look for a venue that allows early access to decorate, prior to when hair and makeup is scheduled, so that your day does not feel rushed.

Wedding Reviews

Make sure you look at wedding venue websites to check out a wedding venue's reviews. In our area there are two primary sites that brides rely on for information. These are theknot.com and weddingwire.com. Both have been around for a long time and have a catalog of reviews for most wedding venues in the Lancaster area. Try to find out how long a wedding venue has been operating and then check them out online. Be skeptical of any venue with perfect reviews. Reviews are not necessarily indicative of what your experience will be with a venue. Some clients are difficult and lets face it; we have all met people that are just impossible to please. Many times negative reviews say more about the person creating the review than the venue. That said, a lot of negative reviews should be a flag to watch out for.

Wedding Planning

Are you feeling overwhelmed by the mere thought of planning a wedding? This is where you should really focus on venues that assist you with this process. Most brides go through this process once or twice in a lifetime. Most wedding venues do this several times a week. A good venue will have a planning process that you can just step into and make your own. Planning an event is a lot of detailed work and there are many checklists for the various aspects of the event. A good venue that plans successful events should have a planning process that you can use so you do not have to reinvent the wheel. Ask to see their planning process and ask questions about how extensive the planning process is. Again, you are spending a lot of money at the venue and they should be there to help you. If the planning process at your chosen venue does not seem thorough enough to you, then you may want to budget for a day-of coordinator also.

Attitude

We are starting our thirteenth year and host a hundred or so weddings each year. As a wedding venue we have dealt with a lot of brides and this has given us the unique vantage point of observing a lot of brides and their reactions to things that happen. This can be something as simple as a rain storm coming through at the last minute to the best man realizing five minutes before the ceremony that he has forgotten the rings. The thing that is clear to us is that the bride usually determines what kind of day she is going to have before she ever steps foot on our property. If the bride is anxious and worried about every little detail and looking for things to go wrong then she will surely find them. Unfortunately, everything is not under the brides direct control and something is bound to not go as planned. As a venue, we evaluate our success by how happy the bride is at the end of the day. We have found that if she approaches the day with a positive and realistic attitude then she will be happy at the conclusion of the event. Things can and will not go as planned but it is how she reacts under pressure that determines the final outcome. The happiest brides are relaxed and take what comes. They do not let the small things throw them or deter them from having a fun day rather than a perfect day. If the bride is laid back and recognizes this at the outset of the planning process then she is well on her way to achieving her perfect day.

To Recap

  • Figure out your particular priorities to help narrow your search for the right venue.
  • Determine your overall budget and a price per person target.
  • Determine the kind of ceremony you want and a location.
  • Research venues as much as possible online to save time and effort and narrow your search to those venues that meet your primary search criteria.
  • Tour the venues that you like and check out the food if possible.
  • Consider the venues policies about property access and be sure you will have enough time for decorating and pre-ceremony photography.
  • Ask for a detailed written estimate before you sign any contracts.
  • Check out the venues reviews online. Ask about less than favorable reviews to get the details.
  • Leverage the wedding venue and their planning process to assist you as much as possible.
  • Have a great attitude and do not let the small stuff throw you.
  • HAVE A FUN DAY AND IT WILL BECOME YOUR PERFECT DAY!

We hope you have found these tips helpful. As a venue we have taken most of these things into consideration when developing our property and packages. We welcome the opportunity to walk you through our process and discuss your specific needs and how we might assist you in fulfilling them.

The Perfect Wedding Venue

The Perfect Wedding Venue

Your search for a perfect venue has led you to the Cameron Estate Inn so we would like to take a few minutes to point out the differences between our venue and other wedding venues in our area. For over a decade we have solicited feedback from past bridal clients, made annual property and package improvements, and considered everything you will need to create and enjoy a perfect wedding day. We have tried to create an ideal wedding venue and we think you will agree that we have a lot to offer. That said, if you think we have missed something, we would love to hear about it!

Wedding Budget

We have no facility site fee and have designed our wedding package to be all inclusive. This means that the basic package includes everything you need to have a lovely event at a single, simple to understand price. That price is subject to an industry standard 20% service fee and 6% Pennsylvania state sales tax. There are no hidden costs or fees. We set up your chairs, provide your linens, cut your cake and clean up the aftermath (within reason) without taking your last nickel and dime. We have tried to create packages that are realistic for budget-minded brides as well as more extravagant offerings for those fortunate enough to not be bound by their purse strings.

Recognizing that many groups have large families and big wedding guest lists we have tried to create a pricing model that offers large groups a break in pricing. We think our large group discount does just that. At full capacity of 275, our large group discount pricing model gives you 35 of those guests free of charge. That is a very generous discount of almost 13%.

We offer non-Saturday incentives as well as off-season pricing breaks. We try to give something back to the community by offering discounts to members of the military and those that serve our community like school teachers, firemen and police officers as a gesture of appreciation for their service.

Our extensive complimentary planning process contains many tips on how you can save money with other vendors as well.

Wedding Pricing

We have created a wedding pricing model that is easy to understand and simple to figure out how much your total event will cost. There are no hidden fees that would result in you spending more than you anticipate. Our transparent package price includes all costs for standard tables, chairs, linens, china, glassware, barware, flatware, cake cutting, setup, teardown, hors d'Oeuvres, and full meal service including a non-alcoholic beverage option. Prices are subject to an industry standard 20% service fee and 6% Pennsylvania state sales tax.

Wedding Ceremony

Most groups like the convenience of hosting the wedding ceremony at the same location as the wedding reception. It simplifies the day for you and your wedding guests. To facilitate this we have constructed two formal outdoor wedding ceremony gardens for you to choose from. Many couples like to have water near their ceremony site. The Donegal Spring Garden utilizes the Donegal Spring and Reflecting Pool as the backdrop for your event. Entrance to the Spring Garden in gained by crossing Donegal Creek over a quaint stone bridge. Most wedding groups find the natural beauty of the spring setting to be adequate decoration for their wedding ceremony. It is hard to compete with the beauty that nature has provided, so you can take advantage of this and save your ceremony decorating dollars for other things.

Our Gazebo Garden features an antique cast iron gazebo imported from France. The elevated gazebo provides the perfect stage for your ceremony in full view of your friends and family. The natural park-like setting of our property lends itself to a more casually elegant and relaxed event. Our wedding venue is like a simple black dress; it can be dressed up or down to suit your particular taste.

Recognizing that the single most stressful aspect of planning a future outdoor wedding event is worrying about what the weather will be like that day, we have constructed an elegant Conservatory that is yours to use (at no extra cost beyond the per person pricing) in the event of inclement weather. Having that backup option identified at the outset of your planning process will eliminate a lot of stress and anxiety. We allow you to wait until the day of the event to decide on the final ceremony location so you can take the weather into consideration for your final decision.

If a church wedding is a priority then you need not worry. Located right next door is the Donegal Presbyterian Church. A beautiful country church built in 1740 and they are more than happy to perform a wedding ceremony for non-members. You can also bring your own officiator to their facility if you prefer.

Wedding Reception Area

We typically have two types of groups looking for a wedding ceremony and reception area. Younger couples getting married for the first time are typically hosting a larger event with dinner followed by a dance party. Then we have our more mature couples who have either waited to get married or are taking another trip down the aisle. Frequently dancing is not as much of a priority for these groups; they are typically searching for a location where they can share an intimate ceremony with a few close friends and family and sit down to share a nice meal. We have reception areas that suit the needs of both groups.

Our Carriage House Banquet Wedding Facility can accommodate up to 275 guests with a dance floor. It is setup to accommodate a DJ or band and is the perfect location for the dance party. There is more than adequate area for dancing as well as guest tables. We have a variety of floor plans that illustrate how the space can accommodate various sized group along with a dance floor and anything else you will need. The space has adequate heating and cooling and the lighting dims for photographs and dancing. The restrooms are large and clean with a wall of large mirrors in the ladies room. There is adequate parking for any large group. We provide a changing space for the bride and groomsmen to get ready. We allow early access to the reception area for you to put out your decorations. We offer a choice of three served dinner packages or a buffet / station package. Packages start at $58 per person.

Our Restaurant space is more conducive to smaller groups of 90 or less who may or may not need a dance floor. This is the perfect wedding spot for couples that appreciate the historic ambiance of the Inn. The main dining room can seat up to 50 and the adjoining sun porch dining room can seat up to an additional 40. Our intimate package is the perfect wedding package for smaller groups. This package includes a complimentary ceremony, full open bar, hors d'Oeuvres and a full meal service at prices starting at $2,995 for up to 25 guests. And, there is an option to add overtime and dancing in the Conservatory after the formal meal service has concluded.

Wedding Photography

If photography is important to you then we think you will be hard-pressed to find another venue that has better wedding photo opportunities. Our fifteen acres of park-like property in Lancaster county abounds with wondrous gigantic trees, two trout streams that wind through the property with four bridges, a historic mansion with wonderful architectural elements, details and a large front porch, a gated entrance, a meandering drive, an antique French gazebo, a spectacular Conservatory featuring an enormous carved white marble fireplace and glittering French empire chandeliers. If this is not enough to tempt you then we also offer the use of the church property next door. They allow our clients to use the spring and reflecting pool for outdoor photos as well. We allow up to 2 hours of pre-ceremony photography to ensure you get as many pictures as you like. The Inn provides great indoor photo opportunities as well for groups renting rooms, just in case it rains. We have lots of sample photo albums to showcase our property and the work of photographers we recommend. This is a great way to see what the property looks like during a particular season and also helps you find a wedding photographer whose style you like. We provide a preferred vendor list to help you find a photographer, musicians, a baker, a florist and a ceremony officiator. We want to assist you to build the perfect team to execute your event.

Wedding Meals

Many of our clients find us through our fine dining restaurant. We are Zagat-Rated and regularly receive excellent reviews for our food. We invite you to dine with us and sample what we have to offer. Our restaurant is open to the public Wednesday through Sunday by reservation. Our season dinner menu is online at our restaurant. Our wedding packages are put together for the convenience of our clients but they typically act as a starting point for discussion. We are happy to customize the package to your taste and style. If there is something in particular that you are looking for then do not be afraid to ask. We can also assist you with the selection of an appropriate bar package for your particular group.

Lodging

Our historic inn has 18 guest rooms for the convenience of your family and guests. The inn can sleep about 40 guests overnight. Typically this is enough for the bridal couple, their immediate families and their bridal party. There are other hotels close by and we can recommend a local shuttle company for your other guest's safety and convenience.

Property Access Time

We try to look at the event from our client's perspective. What is important to them? We think that key among priorities is the ability to accomplish everything that needs to be done on your wedding day without feeling rushed or overwhelmed. To that end we try to be flexible with regard to arrival time and to provide sufficient access to the property for preparation, decoration and photography. We have developed detailed itineraries that illustrate how that is handled. We have partnered with local salons to address hair and makeup needs as well. We provide recommendations for vendors that we know are familiar with our facility.

Wedding Reviews

Please be sure to check out our online reviews from past clients. We can also provide you with contact names of former clients if you would like to speak with them in person. We typically ask our clients to post their reviews on theknot.com and weddingwire.com. We are fortunate that the majority of our clients are happy and are at a great point in their lives. They are in love and planning a happy event for their friends and family. These are the people that we like to work with because they appreciate the hard work and effort that we put into making sure that all the details of their wedding day are addressed so that their event runs as smoothly as possible.

We have been in the hospitality business for a long time and have come to recognize one truth. People are generally about as happy as they choose to be. Unhappy or entitled people are predisposed to look for evidence to support their perspective and consequently can turn any situation into a bad experience. Not all of our reviews are perfect, but they are all real. We try our best to make all our clients happy and we approach each customer interaction with an open and helpful attitude. We have found that when our clients take the time to ask questions, and to read through the wedding package and policies, the contract, and our bridal planning guide that their wedding day unfolds exactly the way they expect it to. That said, some clients have unrealistic expectations and make demands that are not aligned with the wedding packages we offer. Since we try to be upfront about what we can and cannot do, we have found that many times the negative reviews online say more about the person creating the review than the particular situation. If you have any questions about any of our online reviews, feel free to ask us.
